Privacy Policy

This page explains what personal information Pedal Project collects, why we need it, who we share it with and what your rights are. We have tried to keep it short and plain.

Who we are

Pedal Project is run by Ed Woodhouse, a sole trader, and teaches children and adults to cycle in London. Ed is responsible for looking after your information (the “data controller”).

What we collect

About you, when you create an account or book:

  • your name, email address and phone number
  • your password (stored scrambled, so we can’t read it)
  • the courses you book and the payments you make

About the person learning (your child, or you if you are learning yourself):

  • their name, age, gender and height, so we can put them in the right group and pick the right size bike and helmet
  • any medical conditions or other needs you tell us about, so our instructors can keep them safe
  • notes our instructors make during the course, such as how they are getting on, and the bike we recommend for them afterwards

If you buy from our shop: your billing and delivery address, and what you ordered.

When you email us: your emails and our replies.

Why we use it

  • To run your booking: to confirm it, send reminders and joining instructions, contact you during a course if we need to, and arrange any extra sessions under our guarantee. We need this information to provide the course you have booked.
  • To keep learners safe: medical information is only used so our instructors know about anything that might affect the learner during a course. We only hold it because you have chosen to give it to us, and you can ask us to remove it at any time.
  • To follow up after the course: we send one email about how the learner got on, with practice tips and our bike recommendation. We do this because it is a natural part of the course and helps the learner keep cycling.
  • To process shop orders: to take payment and deliver what you have bought. We deliver bikes ourselves.
  • To send our occasional newsletter: with news about our courses, but only if you are on our mailing list. When you book, you can choose not to receive it, and every newsletter has a link to unsubscribe at any time.
  • To keep our accounts: we have to keep records of payments for tax purposes.

We never sell your information or pass it to anyone for their own marketing.

Who we share it with

Only with the people and services we need to run Pedal Project:

  • Our instructors, who see the course register for the courses they teach, including the learner’s details and any medical information.
  • Stripe, who process card payments. We never see or store your full card details.
  • Google, who provide our email, so emails to and from us pass through Google’s systems. Our booking map also uses Google Maps.
  • Fasthosts, who host our website on servers in the UK.
  • The email service we use for our newsletter, which receives the names and email addresses of the people on our mailing list.

Some of these companies may handle information outside the UK. Where they do, they are required to protect it to UK standards.

We would only share information with anyone else if the law requires us to.

How long we keep it

  • Your account and booking history are kept while your account is open, so we can arrange extra sessions under our guarantee and help with future bookings. You can ask us to close your account and delete your information at any time.
  • Payment records are kept for six years, because the tax rules require it.
  • Medical information is kept with the learner’s record so it is there for any future course. You can ask us to update or remove it at any time.

Cookies

Our website uses a small number of cookies that it needs to work: to keep you logged in, to remember what is in your shop basket, and to keep payments secure. We don’t use cookies for advertising.

We count visits to our website with Umami, which doesn’t use cookies or collect anything that identifies you. It shows us how many people visit, which pages they look at and where they came from (for example, a search engine). This information is stored in the EU.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you or your child
  • ask us to correct anything that is wrong (you can also change your details yourself in My account)
  • ask us to delete your information, or to stop using it
  • withdraw your consent for us to hold medical information
  • unsubscribe from our newsletter
